This policy describes how Sherwood Montessori Academy ("the School", "we") collects, uses, and protects information on our website and in our parents portal, including online invoice payments ("Sherwood Portal Payments").

Information we collect

• Parent and guardian contact details — name, email address, phone number, and mailing address, provided at enrollment or when a portal account is created.
• Children's information — name, date of birth, classroom, attendance records, and health records required by Texas childcare licensing, provided by the child's parent or guardian.
• Portal activity — messages, photos, and updates shared between families and the School through the portal.
• Billing information — invoices issued, amounts, and payment records. See "Payments" below.

How we use it

We use this information only to run the School: enrollment, attendance, billing, health and licensing compliance, and communication with families. We do not sell personal information, and we do not use it for advertising.

Payments

Online invoice payments are processed by Intuit QuickBooks Payments. The payment service is provided by Intuit Payments Inc. When a parent pays by card or bank account, the card or bank account number is sent directly from the parent's browser to Intuit and is never sent to, or stored on, the School's servers. The School keeps only the payment amount, the payment method, the last four digits of the card or the bank name, and Intuit's charge reference, so we can issue receipts and reconcile payments.

How we share information

We share information only as needed to operate the School: with Intuit to process payments, with our email provider to deliver school messages, and where required by law or by Texas childcare licensing. We do not share children's information with anyone else.

Children's privacy

Information about children is provided by their parents or guardians and used only for school purposes. Access is limited to School staff who need it for the child's care, billing, or compliance records.

Data retention

We keep family and billing records while a child is enrolled and for as long as Texas childcare licensing and tax rules require afterwards. Parents may ask us to review or correct their family's information at any time by contacting the School.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows the latest version.
